How Scena54 processes personal data of website visitors and guests who send a reservation or event enquiry.
Data controller
The controller of your personal data is Scena54 Katowice Pajda Klesyk sp.j., registered office: Plac Nowy 9, 31-056 Kraków (NIP: 6762561237, KRS: 0000769586), operating the Scena54 venue at ul. Mickiewicza 3, 40-092 Katowice.
In all matters concerning personal data please contact us by e-mail at katowice@scena54.pl or by phone at 730 500 836. We have not appointed a Data Protection Officer.
What data we process
- Reservation and event enquiries — full name, phone number, e-mail address, preferred date and time, number of guests, selected event, the content of your message and the language of the form.
- Correspondence — data you provide when you e-mail or call us.
- Security data — a one-way hash of your IP address (not the address itself) used to limit the number of submissions and filter spam, and the time of submission.
- Technical data — server logs kept by the hosting provider (IP address, date, requested address, browser type).
We do not use analytics, advertising pixels or profiling tools on this website.
Purposes, legal bases and retention
| Purpose | Legal basis (GDPR) | Retention |
|---|---|---|
| Handling a lounge reservation or event enquiry, confirming availability, preparing an offer | Art. 6(1)(b) — steps taken at your request before entering into a contract | 24 months after the reservation date |
| Sending e-mails about your enquiry (receipt, confirmation, unavailability) | Art. 6(1)(b) | as above |
| Replying to correspondence | Art. 6(1)(f) — our legitimate interest in communicating with guests | until the matter is closed, then up to 24 months |
| Protecting the form against spam and abuse | Art. 6(1)(f) — legitimate interest in website security | submission limits: up to 24 hours; submissions flagged as spam: 30 days |
| Accounting and tax obligations (business events) | Art. 6(1)(c) — legal obligation | 5 years from the end of the tax year |
| Establishing, pursuing or defending claims | Art. 6(1)(f) | until the limitation period expires |
After these periods the data is deleted. Records of reservations held in the website database are removed automatically.
Is providing data mandatory?
Providing data is voluntary, but the fields marked in the form are necessary to handle your enquiry — without them we are unable to contact you or check availability. Sending a form is an availability enquiry, not an automatic reservation confirmation.
Who receives your data
Your data is available only to authorised Scena54 staff handling reservations. We also use processors acting on our behalf and under a data processing agreement:
- the hosting provider of the website and its database (servers located in the European Union),
- the e-mail service provider used to deliver notifications and replies,
- PP Web Studio — technical support and website maintenance,
- Google Ireland Ltd. — delivery of fonts (Google Fonts); your browser connects to Google servers, which receive your IP address.
Data may also be disclosed to authorities entitled to receive it under the law.
Transfers outside the EEA
Using Google Fonts may involve transferring your IP address to the United States. These transfers are based on the European Commission adequacy decision for the EU-US Data Privacy Framework or on standard contractual clauses. You can obtain a copy of the safeguards by contacting us.
Automated decisions
The anti-spam filter automatically assesses submissions (e.g. links in the message, sending time, number of submissions). A submission flagged as spam is not deleted immediately — our staff can review it and handle it as a regular enquiry. We do not make decisions producing legal effects based solely on automated processing, and we do not profile you.
Your rights
You have the right to access your data, rectify it, erase it, restrict processing, data portability and to object to processing based on our legitimate interest. To exercise your rights, write to katowice@scena54.pl. We will reply within one month.
You also have the right to lodge a complaint with the supervisory authority — the President of the Personal Data Protection Office (UODO), ul. Stawki 2, 00-193 Warszawa, Poland, uodo.gov.pl.
Security
The website uses an encrypted HTTPS connection. Access to the reservation panel is limited to authorised staff and protected against password-guessing attacks. We store only the data needed to handle your enquiry.
